How booking a place at a Mare Forum event works — payment, what your pass includes, and what happens if plans change on either side. Straightforward terms, in plain language, so you can register with confidence.
Every place at a Mare Forum event is booked per named delegate. Add a delegate place to your basket on the event page and pay by card at checkout; your registration is confirmed by the confirmation e-mail that follows a successful payment. If you need an invoice instead, email tickets@mareforum.com and we will raise one, payable before the event date.
Passes are issued to the person named at booking. You can’t pass a badge around, but you can substitute a colleague (see below).
Card payments are taken by Stripe on our behalf; we never see or store your card details. Delegate fees are shown in the event’s currency and, where VAT applies, it is stated on the event page and added at checkout. A receipt follows by email. Your contract is with Mare Forum B.V., Voorhaven 23A, 3025 HC Rotterdam, the Netherlands (KvK 24311392, VAT NL809185015B01).
A delegate pass covers the programme and the hospitality listed on that forum’s event page — plus the post-event delegate list where you have opted in. What is included varies by venue and format, so the event page is the reference.
Cancellations must reach us in writing at tickets@mareforum.com. The date we receive your notice sets the refund:
Can’t make it? Send a colleague. Name changes are free and can be made right up to the day of the event — just tell us in advance so we can update the badge and the delegate list.
You can also move the value of your pass to another forum in the same season, subject to availability and any difference in fee.
For group bookings of four or more delegates, email tickets@mareforum.com. Group bookings are invoiced together, with a single billing contact who manages substitutions for the whole party.
Speakers, sessions and timings are confirmed as close to the event as we can, and may change. A change of speaker or session isn’t grounds for a refund, but we will always keep you posted as the programme firms up.
If we postpone an event, your pass moves automatically to the new date. If we cancel it outright, you choose: a full refund, or a credit towards another forum.
Where an event can’t go ahead for reasons beyond our reasonable control, our liability is limited to the fee you paid. We can’t cover travel, accommodation or other costs.
A pass that is neither used nor cancelled in writing before the event is treated as a no-show, and is non-refundable.
You are responsible for your own travel, accommodation and any visa needed to attend. On request we are glad to provide a letter confirming your registration to support a visa application.
Our forums are photographed and sometimes recorded for highlights and future promotion — tell us on site if you’d rather not appear. How we handle your booking data is set out in our privacy notice.
Email our delegate services team and we’ll get back to you within two business days — on invoices, substitutions, transfers, or anything else about your place at the table.
