Mare Forum organises maritime leadership forums across Europe, the Americas and Asia and operates this website and the members’ forum. For the purposes of data-protection law, the controller of the personal data described here is Mare Forum B.V., registered in the Netherlands with the Chamber of Commerce (KvK) under number 24311392, VAT number NL809185015B01, Voorhaven 23A, 3025 HC Rotterdam, the Netherlands, telephone +31 10 842 5797.

We collect only what we need to run the forums and this site:

• —Registration details — your name, company, job title, email, phone number and the event you’re booking.
• —Payment information — processed by our payment provider; we never store full card numbers on our servers.
• —Delegate-list preferences — whether you choose to appear on the shared delegate list for an event.
• —Members’ forum activity — your sign-in email and the sessions and recordings you access.
• —the pages you request and standard server logs (IP address, browser, time), used only to keep the site running and secure.

We use your information to process registrations and tickets, manage delegate lists and networking, send you practical information about the events you’ve booked, run the members’ forum, improve this website, and meet our legal and accounting obligations.

We send marketing about future forums only where you’ve asked to hear from us or have attended before — and every message has a one-click unsubscribe.

We rely on: performance of our contract with you (to deliver an event you’ve booked); your consent (for optional marketing and for appearing on a shared delegate list); our legitimate interests (to run and improve the forums securely); and compliance with legal obligations (such as tax and accounting).

This site sets no tracking cookies of its own. It stores two values in your browser’s local storage — your answer to the cookie notice, and the contents of your basket — and neither identifies you. Stripe sets its own cookies on checkout.stripe.com when you pay, and BigMarker does the same when you join a webinar. With your consent (the Accept button in the cookie notice) we run Google Analytics 4 to measure how the site is used: anonymised IP addresses, aggregated reports, no advertising features, and Google LLC acting as our processor under the EU standard contractual clauses. Decline and nothing from Google is loaded; you can change your choice at any time on the cookie policy page.

We share personal data only where it’s necessary to deliver the forums, and never sell it. Recipients may include:

• —Payment processors — to take ticket payments securely.
• —Event venues & co-hosts — where needed for access, catering or safety.
• —Fellow delegates — on the shared delegate list, but only if you opt in.
• —our CRM, HubSpot, which receives what you send through the contact and newsletter forms; Stripe, which processes card payments (we never see your card number); Eventtia, which holds delegate registrations; and our email and hosting providers, all bound by confidentiality.

Our forums are photographed and sometimes recorded for use in event highlights, recaps and promotion of future editions. If you’d prefer not to appear, tell a member of the team on the day or email privacy@mareforum.com and we’ll honour your request.

Because our season runs across Europe, the Americas and Asia, your data may be processed outside your home country. Where it is, we put appropriate safeguards in place — such as standard contractual clauses — so it stays protected to the same standard.

We keep registration and booking records for as long as needed to deliver the event and meet our legal and accounting duties, then delete or anonymise them. Marketing contacts are kept until you unsubscribe.

You can ask us to access, correct, export or delete your personal data, restrict or object to how we use it, and withdraw consent at any time. To exercise any of these, email privacy@mareforum.com — we respond within 30 days and there’s no charge. You also have the right to complain to your local data-protection authority.

We use appropriate technical and organisational measures to protect your data against loss, misuse and unauthorised access. We may update this notice from time to time; the date at the top always reflects the latest version, and material changes will be flagged here.
